Editing Microsoft 365 Distribution Lists (How-to)

This article will cover the process of editing the membership of Microsoft 365 distribution lists in both Microsoft Outlook and Outlook Online (OWA).


Outlook Online (OWA) Instructions

Open the Distribution Group/List Manager

  1. Using your preferred web browser, navigate to this URL: https://outlook.office.com/ecp/MyGroups/PersonalGroups.aspx?showhelp=false
  2. If prompted, sign in to your Drake Microsoft account.
  3. You will be brought to a screen that shows both distribution groups you belong to and own.

  1. Under Distribution groups I own, double click on the distribution group you wish to add or remove members.

  1. Click on the Membership tab to view the current members of the distribution group.

  1. To add a member, click the + (Plus) button.
  2. Select the Default Global Address List.
  3. Use the Search box to locate the members to add. Click the + (Plus) button next to their name to add them to the list.

  1. Once you have finished adding new members, click Save to save the changes.
  2. You will be brought back to the Membership tab. Click Save once more to add the new members.

Remove members from the list

  1. Click on the member you wish to remove from the list. NOTE: You can remove multiple members from the list at once by holding down the Ctrl key while clicking each member.
  2. Click the - (Negative) button to remove the member(s) from the list.
  3. Once finished, click the Save button to save your changes.

Outlook Client Instructions

NOTE: Screenshots in this how-to are taken from a Windows computer, MacOS will have similar screenshots. 

After you open your Outlook client:

  1. Open the Address Book.

  1. Find the distribution list to edit. Double click the distribution list to open it.

  1. Click Modify Members.

  1. Find and select the user to add to the distribution list. Once selected, double click to add the user, then click OK.

Last step

NOTE: Click OK on each of the previous windows to return back to the main Outlook window.
