Sending and Receiving Encrypted Email Messages (How-to)

Drake's Information Security Policy requires that data classified as Confidential be encrypted at rest and in transit. This includes financial data such as credit cards and bank account numbers, personally identifiable information (PII) such as Social Security, passport, and drivers license numbers, passwords, protected health information (PHI), and records subject to the Family Educational Rights and Privacy Act (FERPA).

To send an encrypted email, begin your subject with the phrase encrypted message: (including the colon).

If you are using an Office 365 account, you should be able to open the message without taking any special actions.

Desktop/Browser

1. Select Click here to read your message.
2. Click Sign in with Google or Sign in with a Yahoo ID
3. You'll be redirected to the Gmail or Yahoo sign-in page. Once you sign in, follow the prompts, selecting Allow or Permit if prompted.
4. Your protected message will display in a new browser tab.

Mobile

1. Tap Click here to read your message.
2. Tab Sign in with... and sign in to your email account.
3. If you get a request for permissions, tap Yes or Allow to view the message.

Some email clients and services can't automatically open protected messages. If you have an email account with another Internet Service Provider, you may need to obtain a single-use code to read the message.

Desktop/Browser

1. Click Read the message.
2. You'll be redirected to a page where you can sign in and receive a single-use code.
3. Check your email for the single-use code. Enter the code in the browser window, then select Continue to read the message.

Mobile

1. Tap Click here to read your message > Sign in with a single-use code.You'll be redirected to a page where you can sign in and receive a single-use code.
2. Check your email for the single-use code and copy it.
3. Enter the code in your browser, then select Continue to read your message.
