Project Status Updates in Team Dynamix

Status updates are important for projects to communicate what’s happening with a project.

Please complete status updates monthly before the 15th of each month for any projects or enhancements you are leading. This timing allows about a week for review of statuses by the Professional Services team members who complete a monthly project and enhancement review. The information provided may be used on status reports pulled from Team Dynamix and on our ITS PM website. Additional audiences who may see the status updates include our campus community, a project’s executive sponsor, and the ITS department.

Accessing Your Projects in TDX:

  1. Login to TDX.
  2. Navigate to the Projects tab. Note: if you don't have it, use the waffle menu and choose the Projects button.

  1. Choose the project you want to provide an updated status on. This will appear in the left column. Note: if you don't see it there, please contact someone in the ITS PM team, as they may need to grant you access to the project.
  2. Click into the project by choosing the Manage option under the project name in the left navigation.

  1. You should see a green Update button. Note: if you don't see this button, please reach out to someone in the ITS PM team to review your permissions.

Updating Your Project Status in TDX:

  1. Choose the appropriate status:
    • In Process - Closing: Use when the work is complete and you are waiting to complete the survey and closeout report or for the project to be officially closed in TDX.
    • In Process - Executing: Use when work is underway. This may include coding and testing.
    • In Process - Planning: Use when you are gathering requirements and working to figure out what needs to be done and the time frame for completing the work.
    • New: This is the default status for new projects. It should be changed the first time a status update is provided.
    • On Hold - Business: Use when the requesting department decides a project needs to be on hold.
    • On Hold - FPM: Use for FPM/ITS projects only and when FPM places an initiative on hold.
    • On Hold - ITS: Use when ITS decides to place a project on hold.
    • On Hold - Sponsor: Use when the executive sponsor of the project puts the work on hold.
    • On Hold - Vendor: Use when the project is on hold because of a vendor.
    • In Process - FPM: Use when work is underway on FPM projects.
  2. Select the appropriate health:
    • Green - Everything is going as planned and you are expected to finish on time.
    • Yellow - You've run into some hiccups and are off plan, but still believe you can finish on time with some slight adjustments.
    • Red - You've run into major issue and are off plan and unsure how you will recover to finish on time.
  3. Set the percent complete. Use your best judgement based on the work ahead and work completed.
  4. Add comments. These should be a short narrative of what has happened since the last status update, what is expected to happen before the next status update, and highlight any issues encountered that the team is currently working through. If your work has gone off track from projection, you may want to include an explanation about that as well.
  5. Click save.
