Editing Microsoft 365 Distribution Lists (How-to)

This article covers the process of editing the membership of Microsoft 365 distribution groups/lists.

Access the Microsoft Exchange Admin Center

  1. Using your preferred web browser, navigate to this URL: https://admin.exchange.microsoft.com
  2. If prompted, sign in to your Drake Microsoft account.
  3. On the left, select Groups to access the distribution groups/list manager.
  4. Select Groups I own. Groups you are listed as an owner of will be listed here.
  5. Click on the desired distribution group you wish to edit.

Managing members and owners

Group members will receive any emails sent to the distribution group. Group owners are users who are permitted to edit the group's settings, including managing memberships and specified (approved) senders.

NOTE: A group owner must also be a member if they need to receive emails sent to the distribution group.

  1. Select Members to bring up the current list of members and owners of the distribution group.
  2. Click on the link under Members or Owners to manage group memberships.

Adding members or owners

  1. Click on Add members or Add owners to add a new member or owner to the group.
  2. Using the Search box, type in the name or email address of whom you wish to add to the group as a member or owner.
  3. Click on the check box next to the member you wish to add.
  4. Click Add to add the new members.

Removing members or owners

  1. Click on the check box next to each user you wish to remove from the group members or owners. Multiple users may be selected at once.
  2. Click Delete to remove the users from the list.

Managing specified senders

Configuring specified senders on your list allows you to restrict who may send emails to your distribution group. If specified senders are configured on a distribution group, only those senders are permitted to send or reply to the distribution group.

  1. Select Settings to bring up the distribution group's settings.
  2. Under Delivery Management, select Edit delivery management.

  1. To add a specified sender to the distribution group, click on the search box and begin typing in the name or email address of who you wish to add.
  2. To remove a specified sender from the distribution group, click on the X next to their name.
