Editing Microsoft 365 Distribution Lists (How-to)

This article will cover the process of editing the membership of Microsoft 365 distribution lists in both Microsoft Outlook and Outlook Online (OWA).


Outlook Client Instructions

NOTE: Screenshots in this how-to are taken from a Windows computer, MacOS will have similar screenshots. 

After you open your Outlook client:

  1. Open the Address Book.
  2. Find the distribution list to edit. Double click the distribution list to open it.
  3. Click Modify Members.
  4. Click Add.
  5. Find and select the user to add to the distribution list. Once selected, double click to add the user, then click OK.

NOTE: Click OK on each of the previous windows to return back to the main Outlook window.

Outlook Online (OWA) Instructions (outlook.com)

After you've logged into Outlook Online:

  1. Click the gear icon found in the upper right corner of the Outlook bar.
  2. Towards the bottom of the menu you will see a link View all Outlook settings.
  3. Click on General, then Distribution groups (B). On the right side of the window you will see a list of distribution groups you own. Select the distribution list you want to edit and click the Pencil icon. (C).
  4. Click the sign to add members.
  5. Find the user you want to add to the distribution list and click Save.

Click Save again to save changes to the distribution list.
