Conducting Banner Access Review (How-to)

A Banner Access Review is automatically started when the Human Resources Department approves an Employee Status Form (ESF) for a Change to an employee's department or position number. This task is to ensure that any access to Banner that the employee has is reviewed to verify that it is still needed in the new department or position. If it is not, then appropriate action needs to be taken to reduce the access to Banner.


1. Conducting A Banner Access Review

1. Access the Banner Access Review Task

  1. Once an employee's ESF is approved by HR, a new process is created within ProcessMaker to conduct this review. If the employee has access to Banner, that access MUST be reviewed. The person who submitted the original ESF will receive an email that contains a link to their task list within ProcessMaker. You may also visit your task list here.
  2. Access your task list and click on the Review Banner Security task that is assigned to you

2. Conducting Banner Access Review

  1. Review the user details and available security reports using the links provided on the task page. 
    1. Optionally: reassign the task to another person using the Reassign button
  2. If no changes are needed, toggle the I have reviewed the Banner access...no changes are needed at the time to on. Click Submit
  3. If changes are needed, click Request Details
  4. Select one or more modules from which to remove access
    1. Use the + button to add more than one module
  5. Provide a thorough description of what the employee no longer needs access to
    1. A thorough description is required to assist the Data Custodian in identifying the correct Security Class to revoke
  6. Click Submit

Optionally reassign the task to another user

If no changes, toggle switch and submit

If changes are needed, click Request Details

Select Modules and submit

 

2. Next Steps

After submitting the Banner Access Review, a new Banner Security Change Request will be created for each of the modules you selected in step 2.4 above. Each one will proceed independently of the others and the employee's supervisor will be required to approve each request.
