Configuring OneDrive on a Mac (How-to)

Drake University uses Microsoft OneDrive and Microsoft Teams as the standard cloud storage solution for anywhere/anytime file access, editing, and collaboration. All other cloud storage solutions are unsupported. This article provides how-to steps for configuring OneDrive on a Mac computer.

Students, faculty, and staff can use OneDrive to access their Drake files anywhere an Internet connection is available. Students can even use OneDrive to store and access their own files from Drake's computer labs and virtual desktop environment. Faculty who configure OneDrive on their classroom computers can access instructional material prepared from their office or even from home.

Before configuring OneDrive, either logoff and log back onto your computer or restart and then login. This will ease later efforts by the OneDrive Assistant. Once you have started these instructions, make sure not to logoff or restart your computer again until both the Sign-in and Redirection steps have been completed.

1. Sign-in to OneDrive

  1. From the Finder's Go menu, choose Applications.
  2. Locate and open OneDrive. If you don't have OneDrive on your computer, submit a Storage OneDrive Issue.
  3. A pop-up may appear to the upper-right asking if OneDrive can give you notifications. Click Allow.
  4. It may take a while for the OneDrive client to open. Once the window appears, enter your Drake email address then click Sign In.
  5. You may be prompted to choose between a Personal account or one for Work or School. If you're asked to choose between the two, click Work or School.
  6. Sign-in as you would normally. For more information, see Signing in to Microsoft-connected systems (How-To).
  7. The path to your OneDrive files will be displayed. Click Next. Do not click the link to Change Location.
  8. The OneDrive client is now set up on your computer. Click Next at each of the informational screens that follow.
  9. Click Later when prompted with information on the mobile app.
  10. Last, click Open my OneDrive folder. A Finder window will appear showing your OneDrive synchronized files. You may close the Finder window.

2. Setup OneDrive Folder Redirection

  1. From the Finder's Go menu, choose Applications.
  2. Locate and open the Self Service application.
  3. Within Self Service, locate OneDrive Assistant. You might need to select Applications.
  4. Click the Install button. The top portion of Self Service will change to show the OneDrive Assistant is loading. After a moment the OneDrive Assistant will launch.
  5. The OneDrive Assistant may open behind Self Service. Click to bring the OneDrive Assistant to the front then follow the on-screen instructions. If OneDrive has been successfully configured using previous steps, the OneDrive Assistant should indicate it is ready to synchronize files. IMPORTANT: Close any documents and applications you have open, such as Word, Excel, and PowerPoint. The OneDrive Assistant may not be able to complete successfully if you have files open from your Desktop, Documents, Downloads, Movies, Music, or Pictures. Click Next.
  6. The OneDrive Assistant will step through your Desktop, Documents, Downloads, Movies, Music, and Pictures to synchronize each. Depending on how much you have in each of the folders, the process may take a few minutes. As the OneDrive Assistant reaches the end of this list, you may see the screen flicker as windows are opened and closed. This is normal and may take a few seconds.
  7. Close the OneDrive Assistant and Self Service when the setup completes. If the OneDrive Assistant encounters troubles moving any of your files, feedback will be given. Submit a Storage OneDrive Issue if it seems the OneDrive Assistant doesn't complete successfully.
  8. Reference the Accessing OneDrive on a Mac article. Files in your Desktop, Documents, Downloads, Movies, Music, and Pictures folders should start to receive green checks beside their icons. Some of your files may show red xs or arrows. This is normal and the process for resolving this is outlined in Getting Started with OneDrive. If the green checks do not appear or if they later disappear, be sure to submit a Storage OneDrive Issue. Synchronization status icons will only be visible in Finder windows, not next to your files on your Desktop.
  9. As files are moved for synchronization, the OneDrive Assistant will try to create new Favorites in the macOS sidebar. From time to time old Favorites might be left behind. If you are accustomed to using the macOS sidebar to access files, you may want to drag out Desktop, Documents, or Downloads items that show with a file icon.
